Tour Operations Assistant

Hungarian Speaking // Full-time // Budapest

Join our continuously growing team as a Tour Operations Assistant and support our Travel Experts in organizing adventure trips to some of the world’s most exciting destinations.

This role is for someone who enjoys thinking in systems, working accurately, and making sure every detail of a trip falls into place.

You will be involved in the operational preparation of several trips at the same time, working primarily with our Travel Experts, as well as with other team members, tour guides, and our local and international partners.

Key Responsibilities

Supporting the work of our Travel Experts throughout the preparation, operation, and closing of our trips:

  • Searching for, comparing, and booking flights;
  • Supporting the booking of accommodation, transfers, and other travel services;
  • Assisting with visa applications, registrations, and travel insurance;
  • Communicating with partners and service providers regarding bookings and other operational matters;
  • Managing passenger data, flight information, transfer lists, room allocations, and other trip-related records;
  • Preparing and updating operational documents, checklists, questionnaires, and spreadsheets;
  • Compiling passenger briefing materials and pre-departure information;
  • Preparing the documents and equipment required by tour guides;
  • Supporting the preparation of contracts, partner agreements, and other administrative documents;
  • Handling ad hoc operational tasks;
  • Assisting with project closing and collecting tour guide reports and passenger feedback;
  • Supporting several travel projects simultaneously, based on the priorities set by the Head of Adventure Tours and the Travel Experts.

Essentials

  • At least 2–3 years of professional experience, ideally in travel, operations, project coordination, or a related field;
  • A university degree;
  • Native-level Hungarian and fluent, confident English;
  • German language skills are an advantage.
  • Strong administrative and organizational skills;
  • Confidence working with spreadsheets and digital systems;
  • Strong organizational skills and the ability to manage multiple tasks and deadlines;
  • A high level of accuracy, reliability, and attention to detail;
  • A proactive, solution-oriented mindset, with the confidence to ask questions and raise issues when needed;
  • Clear and effective communication skills;
  • The ability to stay focused and organized during busy periods before trip departures;
  • A genuine interest in travel, adventure, and the operational side of creating memorable experiences.
